This notice explains how information submitted through the directory is used.
Profile applications
We use your certificate email to confirm ownership and match your issued certificates. You choose the professional details and optional public contact information to share. Choosing Publish my listing and saving makes those details public; choosing Keep my listing hidden saves privately. Signing in or importing certificate records does not publish a profile.
What may become public
When you choose Publish my listing and save, your listing may show your name, biography, city and country, specialties, languages, session format, permitted photo, certification names, public website or booking link, and any optional public email or phone number you provide. Your private certificate email and certificate references are not displayed on the public profile.
Membership interest
If you request a membership update, your name, email, and preference are stored for the team to manage that request. This does not create a paid subscription, enroll you in a course, or take a payment.
Storage and spam prevention
Requests and profiles are stored in the directory’s WordPress database, hosted through WP Engine, and may be included in hosting backups. The forms use temporary connection-based limits to reduce spam. WordPress uses necessary cookies for staff sign-in and administration.
Corrections and removal
You can update or hide your listing from your signed-in profile. For help correcting certificate records, withdrawing a membership-interest request, or removing your data, contact [email protected]. Include enough information for the team to locate and verify your request; do not email passwords or payment details.
Links to coaches
Coach websites and booking pages are operated separately. Review their own terms and privacy information before sharing personal details or booking a service.
Existing graduate records and private editing
Transformation Academy may prepare private directory records from its existing certificate-issuance exports and match them to its community roster by email. This preparation does not publish a profile or start a paid membership. Named certificate records are kept separate from SimpleCert assignment counts that still need certificate details. Community location text is not treated as a confirmed country, state, or city.
Coaches can request a private sign-in link at their certificate email. Requested sign-in links expire after 15 minutes; staff invitation links expire after 48 hours. A confirmation step starts one 30-minute editing session using a necessary, secure cookie. Request limits help prevent abuse. Saved edits go live when you choose Publish my listing; otherwise they remain private. Coaches can hide their listing without deleting their profile or certificate records. Coaches can publish a hidden listing again themselves after confirming their certificate email, without staff approval. All imported certificate recipients can request private profile access without a community membership. Older records with certificate counts but missing titles stay private until their certificate details are verified.
Association membership and enhanced profiles
Association payment references, benefit dates, and staff verification records are kept private. Existing community access does not automatically create a paid association membership. Enhanced profile details you submit are displayed when you choose to publish and have either current certified-community access or active verified paid association access. When neither source of enhanced benefits is active, enhanced features are removed while your basic profile and certificate records are preserved.
You can upload a picture or business logo. Uploaded pictures are stored privately and become visible when you publish your listing and have active enhanced benefits. Booking, introduction-video, website, and professional links lead to the external services you choose to share. If an older approved profile uses an external image link, viewing that image may connect visitors to its host.
Member resource PDFs are stored encrypted and downloaded through a sign-in check for either current certified-community access or active verified paid association access. The team can add resource descriptions and dated learning updates to the private member library. These controls do not automatically send a newsletter, start a subscription, or change your existing community entitlements.
Association payments and billing
If you choose paid association membership, Stripe processes your payment and recurring billing. Your certificate email is used to start checkout. Stripe collects the payment and billing details you enter; the directory does not store card numbers. We store Stripe customer, checkout, subscription and invoice identifiers, payment status, paid-through dates and payment-risk review status to manage member benefits and support. Signed Stripe notifications keep those records up to date. Billing controls open your own Stripe customer portal. See Stripe’s privacy policy for its processing.
Association payment does not grant permission to publish a coach profile. Hiding a profile does not cancel an annual subscription. Use the billing controls to stop renewal or contact [email protected] for billing support.
Profile pictures and optional public contact details
Your certificate email is used privately for sign-in. You may choose a separate public email and phone number; leave either blank if you do not want visitors to see it. Member profiles can upload a picture or logo. We remove image metadata and store uploaded pictures privately until you publish your profile.
Choosing Publish my listing and saving makes your picture and optional public contact details visible with your profile. Saving with Keep my listing hidden keeps them private. You do not need staff approval. Use Hide my listing to remove it from public view. Saved changes to a published profile appear immediately when Publish my listing stays selected. Information already viewed or copied by visitors cannot be recalled.
